Your role of a group leader typically ranges from selecting activities, meal planning, transportation, planning for money and preparing your guests for their time abroad, making sure they know what to expect.

We’re excited to announce that we’ve transformed the experience of planning your trip with us, and have launched our insanely helpful Casa Xixim Guest Planning Portal. It’s a central hub with everything you need.

Our Planning Portal simplifies planning by consolidating everything you need in one convenient place, with easy to use tools to get your planning done. It reduces the amount of back and forth emails up front, and seamlessly begins the process of planning your itinerary.
Benefits of Using the Planning Portal
Having centralized information means we do all the heavy lifting and you don’t need to hunt through emails, or struggle with your own planning research. It increases your planning efficiency and empowers planning novices to keep their group well organized. With less stress around the planning process, guests are able to more freely dive into enjoying their vacations.
The Planning Portal is a work in progress but has already become a planning powerhouse. It is designed to evolve over time to meet our guests needs. Providing this tool—for free—to all of our guests is another way that a visit to Casa Xixim stands out.
How to Access the Planning Portal
The Planning Portal is available only to Casa Xixim guests. We typically send out our official Welcome email about 3-4 weeks before your arrival. This will include a link and password to the portal and an introduction to the owner of Casa Xixim and the concierge – who will both support your onboarding process.
For Guests – Easy Steps to Get Started:
- After clicking on the emailed link, enter the password.
- Use the 4 labeled icons to submit your guest list, transportation needs, meal planning, and concierge requests.
- Download to view or print any of our house materials such as our Menu and Adventure Guide.
For support and assistance, both the owner of Casa Xixim and the concierge are available. They can be reached by email prior to your stay, and will then shift to a group chat with you the day before you travel. This allows everyone to be in touch if you have any travel updates. Upon arrival at the villa the concierge will meet with you for a tour and settle up any remaining itinerary details. We’ll continue to be available over the group chat throughout your stay.
At the end of the day, the team at Casa Xixim strives to give our guests one of the best vacations they’ve ever had. The Planning Portal is our latest magic trick in ensuring our guests fell well prepared and well taken care of. The only thing better than a happy guest, is a returning happy guest.

What airport should we fly into?
You can fly into the new Aeropuerto Internacional de Tulum, also known as the Felipe Carrillo Puerto International Airport (TQO) at 32 miles (52 km) from Casa Xixim., or Cancún International Airport (CUN) at 67 miles (108 km) from Casa Xixim.
Do you book our airport transfers?
Yes, we can book your airport transfers! This can be coordinated with us directly through the planning portal you gain access to after you’ve completed your booking.
Should we buy our own water?
You do not need to buy your own water. We provide purified water, ensuring it is safe and readily available throughout your stay. You can learn more about our water management systems here.
How far in advance should we book tours?
We suggest booking tours about 1-2 weeks in advance, unless holidays such as:
Spring Break and US Thanksgiving: Book about 3 weeks in advance
Christmas and New Year’s: Book about 1-2 months in advance

What is the weather like in Tulum?
Tulum enjoys a warm tropical climate year-round, with some variations throughout each season:
- Winter (December to February):

- Weather: Dry and sunny, perfect for outdoor activities.
- Spring (March to May):
- Temperature: 77°F to 90°F (25°C to 32°C)
- Weather: Warm with increasing humidity, occasional rain showers.

Seaweed, or sargassum, can occasionally wash ashore in Tulum and Soliman Bay, particularly during the warmer months. At Casa Xixim, we actively manage and clean the beach to ensure a pleasant experience for our guests. However, the presence of seaweed is a natural phenomenon and can vary.
